Keep Your Employees On The Cutting Edge With Desktop Software Training

With all the advances in electronics, computers and "digital everything," it is understandable that some business owners have something of an "IT bias." Of course, supporting their IT personnel with the latest equipment, applications and training is crucial to the success of their businesses, and they should most certainly continue doing it. That is the upside to the IT bias. The downside, however, is that some businesses forget that they have all kinds of other employees that need the same kind of support, though it may be on different platforms and involve different software.

If this describes you, don't fret. You have a lot of help available to you today. If you want to keep your employees on the cutting edge with desktop software training-and maximize their use of such important day-to-day business applications like Microsoft Office, Adobe Photoshop, QuarkXPress and QuickBooks-you have a few different routes you can take. There has been a lot of talk over the past couple of years about computer-based training (CBT), but that is a somewhat vague term and does not even come close to describing the many creative, effective ways that a first-rate training company can empower the employees in every department of your company.

Lots of ways to learn

When you start looking around for a company to provide training to your accounting department (Excel, QuickBooks), marketing staff (Photoshop, QuarkXPress) or secretaries (Word, PowerPoint), you would be wise to choose one that has as many approaches to training as you have different kinds of employees. If you find that a training firm proposes a "one size fits all" solution, and can only provide training on a preset schedule with some sort of online "webinar," you can be forgiven for not wanting to squeeze yourself or your employees into that corner. The fact is, the same kind of training does not work for everyone.

Some of your employees may, in fact, do well in an online training course. Others, however, may show greater success with a self-paced plan that lets them run full- motion video from training discs right at their own workstation, on their own schedule. Still others may require hand-on, classroom training, particularly with design and layout programs, so an onsite instructor may be essential. There is no "one best way" to teach or to learn, and the best training firms will have multiple ways for you to reach your goal of having a well-trained, fully functional, computer-savvy workforce that is up to date on all the essential desktop software.

Return on training investment

As you make a list of candidate firms and start to do your due diligence, remember that you will be investing a not inconsiderable sum to educate your employees, so you deserve to know what your return will be. Many desktop-software training firms do only a narrow range of classes, and for the most part there are no nationally recognized certificates awarded for Quark or Photoshop classes. On the other hand, companies that also offer training for Cisco certifications and Microsoft Certified IT Professional credentials are being "graded" every time one of their students takes and passes an industry-standard exam. Ask the training companies that you are researching if they also train IT professionals, and then ask about their results.

The odds are very high that a company doing a good job of preparing IT professionals to pass grueling examinations will do a similarly good job of training your office staff in Microsoft Office or any other needed application. Top training firms employ only the most proficient, up-to-date professionals to teach each and every course. Again, you should be able to choose the delivery method that works best for you and your staff, whether it's online training, self-paced discs, classroom lecture or some combination of these. No matter which route you take, a top firm will also provide first-rate, printed courseware to accompany the training methodology. You should accept no less.

Making the choice

If you want to keep all of your employees updated, equipped and confident in their computing skills, training is not an option but a necessity. Even if you have (or used to have) a bit of an IT bias, you can now use that to your advantage by expanding its range to include employees in all other departments. You certainly know from dealing with Cisco- and Microsoft-certified IT employees that the training was integral to their success, and your company's, too. You will find this to be true when you provide desktop software instruction as part of your enterprise training program, too. Invest a little and reap a lot.

You need a training company that can deliver the goods the way you need them, in the best way for your employees. This company should have experience that is both broad and deep, covering everything from IT to office applications, word processing to design and spreadsheets to project management. The materials should be state-of-the-art, the instructors compelling and the courseware of the very highest quality. Your employees and your company deserve nothing less.
